Calendful helps you add booking calendars to your website from Canva and manage appointments and RSVPs from one dashboard. This guide covers setup, guest booking, your dashboard, integrations, and billing.
Getting started
Quick start
Follow these steps to go from zero to your first booking:
- Open Calendful from Apps in the Canva editor and create a calendar.
- Use Add to design in Canva to place the calendar on your website, or open Calendars in this dashboard to manage it.
- Use Add to design in Canva to place the calendar on your website.
- Watch new responses appear under Bookings or Events in this dashboard.
Appointment vs RSVP
Choose the calendar type when you create a page in Canva:
- Appointment booking - guests pick an open time slot from your weekly hours. Best for consults, calls, and services.
- Event RSVP - guests respond to one fixed date and time. Best for workshops, launches, and parties.
Create your first calendar
In the Canva editor, open Calendful, add a title, set your schedule, and save. For appointments, configure weekly hours and timezone. For RSVPs, set the event date and optional capacity.
Add to your website
Use Add to design in Canva to embed your calendar on a Canva website or design. You can also copy the public link from Calendars if you need a standalone booking URL.
Return to this dashboard
Open Your account from the app menu in Canva to reach this hub again. Or go to calendful.app, choose Sign in, and enter your verified account email from Settings (or an invited teammate email). We send a one-time magic link - no password. Bookmark the dashboard URL if you prefer.
Invite your team
Only one person needs Canva. After you verify your account email, team invites are a Pro feature (up to 3 team members). In Settings, open Team and invite coworkers by email. They sign in at calendful.app with that email and share the same bookings dashboard.
Appointments
Weekly hours and timezone
Availability comes from the weekly hours you set in the Canva editor, interpreted in the calendar timezone. Guests only see slots that fall inside those hours.
Services and duration
Offer one or more services per calendar, such as a 30-minute consult or a 60-minute session. Free includes 1 service; Pro allows up to 8 on the same page.
Custom questions
Add extra form fields in the Canva editor when you create or edit a calendar. Free includes up to 2 custom questions; Pro allows up to 5.
Use text fields for short answers or a dropdown when guests should pick from a fixed list.
Location
Set a physical address or choose a video platform label (Zoom, Google Meet, or Microsoft Teams) when creating the calendar in Canva. Guests see the location on the booking page and in confirmation emails.
Buffers, notice, and book-ahead
Minimum notice stops last-minute bookings. Buffer time adds space between appointments. Book-ahead limits how far into the future guests can schedule.
Pause or close a calendar
Set a calendar to closed in the Canva editor when you want to stop new bookings. Existing bookings stay in your guest list; guests see that bookings are closed on the public page.
Guests see no open times
Check the following if slots look empty:
- Weekly hours and timezone in the Canva editor
- Minimum notice and book-ahead window
- Calendar status is active, not closed
- On Pro, busy times on your connected Google Calendar also block slots (see Integrations)
Manual confirmation (Pro)
Pro hosts can require approval before an appointment is confirmed. Turn on Require manual confirmation in the Canva editor when editing the calendar.
New bookings stay pending until you confirm or decline them from Bookings. Guests receive a request-received email while pending, and a confirmation or decline email after you act.
Manual confirmation applies to appointment calendars only. RSVPs are confirmed immediately.
Custom page colors (Pro)
Pro unlocks custom colors and button styling on public booking pages. Edit theme colors in the Canva editor when creating or updating a calendar.
RSVP and events
Event date and capacity
RSVP pages use a fixed event date and time set in the Canva editor. Set capacity to limit total guests; when the event is full, new RSVPs are blocked.
Plus-ones
Enable plus-ones when creating the event if guests may bring others. You can cap how many extras each guest can add. Guest counts toward capacity include plus-ones.
Duplicate emails
Each email address can RSVP once per event. If someone tries again with the same email, they see an error instead of a second entry.
Manage RSVPs
Browse all event responses under Events. Filter by upcoming, past, or canceled, search by name or email, and export to CSV from the Export button.
Guest list
Find your guest list
In this dashboard, open Bookings for appointments or Events for RSVPs. You can also open Guest list for a single calendar from the Canva app or from Calendars here.
Pending appointments
When manual confirmation is enabled, pending bookings appear in Bookings. Open a row to confirm or decline. Confirmed bookings sync to Google Calendar on Pro when connected.
Export to CSV
Export from Bookings or Events to download a spreadsheet across all calendars. For one calendar only, use Guest list in the Canva app.
Host cancellations
Open a booking in Bookings or Events to cancel on behalf of a guest. Cancelled appointment slots become available again.
Guest cancellations
Confirmation emails include a manage link where guests can view or cancel their booking. Cancelled slots become available again for appointments.
Integrations
Google Calendar
Available on Pro. Connect from Integrations to:
- Create Google Calendar events when appointments are confirmed
- Block booking slots when you are already busy on the selected calendar
After signing in, choose which calendar receives new events and is checked for conflicts.
Reconnect Google
If Google access expires, open Integrations and choose Reconnect. This can happen after a password change or if access was revoked in your Google account.
Disconnect Google
Remove the connection from Integrations. Existing Google events are not deleted automatically; new confirmed appointments stop syncing.
Automations
What Free includes
Every calendar sends default confirmation and notification emails automatically, including guest confirmations, host alerts, and cancellation notices.
Free hosts cannot customize copy or turn individual messages off from the Automations page.
Pro automations
Pro unlocks Automations for each calendar. You can:
- Customize built-in email subject and body
- Toggle individual messages on or off
- Add custom automations such as reminders before an appointment or follow-ups after an event
Instant vs scheduled emails
Instant automations fire when something happens, such as a booking confirmed, a request pending approval, or a cancellation.
Scheduled reminders are sent before an appointment starts based on the timing you choose. Reminders are delivered automatically in the background.
Merge tags
Use placeholders in email subject and body to personalize messages. Common tags include guest name, host name, event title, date, and time.
Tags appear in the editor when you customize an automation. Preview shows sample values before you save.
Upgrade
Open Plan & billing to compare plans and upgrade to Pro when you are ready to customize emails and reminders.

Pricing
Pro is $9.99 per month (USD). See Plan & billing for current pricing and checkout in your currency.
Upgrade and billing
Open Plan & billing to compare plans, start checkout, or open the billing portal to update payment details or cancel.
After you cancel Pro
Pro access continues until the end of your current billing period. After that, Free limits apply: you cannot create a second calendar, add Pro-only services or questions, connect Google Calendar, customize automations, require manual confirmation, use custom page colors, or invite new teammates.
Existing public pages and past bookings remain accessible. Existing team members keep access, but you cannot invite more people beyond the Free seat limit. Pending automations stop when your subscription ends.
Account email
Set an address in Settings and verify it. That account email signs you into the dashboard via magic link at calendful.app/login and is the default inbox for booking alerts. Until you verify, the address is pending and cannot be used to sign in.
Team access
Team invites are included on Pro (up to 3 team members). Free is owner-only (1 seat). After your account email is verified, invite people in Settings → Team. Invited emails get a message and can request a sign-in link anytime. Use the member menu to send a sign-in link again. Removing someone stops new magic links for that email; reset the dashboard link if you also need to invalidate a shared bookmark.
Privacy and data
Uninstalling the app
When Canva notifies us of an uninstall, we remove your host account, calendars, and bookings. Reinstalling the app starts with a clean account.
Google data
Google Calendar data is used only to create booking events, read busy times for availability, and disconnect when you remove the integration.
